This Privacy Policy explains how Ringly (“we”, “us”) collects, uses, shares, and protects information in connection with the Ringly AI phone service (the “Service”). By using the Service, you agree to this Policy. For call data you process through the Service, you act as the controller and we act as your processor.
1. Information We Collect
- Account information — name, email, password (stored hashed), and a forwarding phone number you provide.
- Billing information — handled by Stripe. We do not store your full card number; we keep a customer identifier and subscription status.
- Call data — phone numbers involved, call times and durations, audio recordings, transcripts, AI-generated summaries, spam/forwarding outcomes, and your call configuration (greeting, behavior preset, language, voice).
- Usage & device data — log data such as IP address, browser type, and actions taken in the dashboard.
2. How We Use Information
We use information to:
- provide, operate, and secure the Service, including answering and placing calls on your behalf;
- provision and manage your telephone number(s) and route calls;
- generate recordings, transcripts, and summaries you request;
- process payments, prevent fraud and abuse, and enforce our Terms;
- provide support and send service-related communications;
- maintain, troubleshoot, and improve the Service.
3. Call Recordings & Transcripts
When enabled, calls are recorded and transcribed and may be sent to our AI providers for real-time voice and language processing and for summary generation. You are responsible for providing any notice and obtaining any consent required by law from the parties to your calls. You can review recordings and transcripts in your dashboard.
4. Service Providers & Sharing
We do not sell your personal information. We share information only with service providers who help us run the Service, under contractual confidentiality and security obligations:
- Twilio — telephony, call connectivity, and number provisioning.
- Stripe — payment processing and subscription management.
- Microsoft Azure OpenAI — real-time AI voice and language processing, and call summaries (US region).
We may also disclose information if required by law, to protect our rights or the safety of others, or in connection with a corporate transaction.
5. International Transfers
We operate internationally and our providers process data in regions including the United States and the European Union. Using the Service involves transferring your information to these regions, which may have different data-protection laws than your own. We rely on appropriate safeguards where required.
6. Data Retention
We retain account and call data for as long as your account is active and as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce agreements. You may request deletion of your account and associated data (subject to limited retention required by law or for legitimate business records).
7. Security
We use reasonable technical and organizational measures to protect information, including encryption in transit and access controls. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Your Rights & Choices
Depending on where you live, you may have rights to access, correct, delete, export, or restrict processing of your personal information, and to object to certain uses. You can update much of your information in the dashboard, or contact us to exercise these rights. We will not discriminate against you for exercising them.
9. Cookies
We use strictly necessary cookies to keep you signed in and to remember your language preference. We do not use them to sell your data.
10. Children
The Service is not directed to, and may not be used by, anyone under 18. We do not knowingly collect information from children.
11. Changes to This Policy
We may update this Policy from time to time. We will update the “Last updated” date and, for material changes, provide additional notice where appropriate.
